Contactous Mobile App User Guide

Contactous mobile app enables uploading of business cards and provides access to organization's contacts from user's mobile phone. A regular user can access entire organization's records while a restricted user can view and edit only those contacts belonging to that user's account. Both types of users can take a photo of the card and submit it for transcription. Giving access to users is done by administrator of the organization. 

Following are the main screens of the mobile application:

The login screen

Customer Code is a unique code assigned to your organization. 

Use the login name and password assigned by your administrator. 

These credentials can be used to login into web application at www.contactous.com/login.html

Search: To find contact records based on your critera or pre-defined lists

Scan: To scan an image of a business card and upload into the system for transcription

FAQ: Standard FAQ page for mobile application

Support: Mail form to contact support of Contactous

Tutorial: A simple slideshow of the app

CRM: If CRM is configured then this icon will be highlighted. Currently the following CRMs are supported: Salesforce, Microsoft Dynamics 365 and Zoho.

Main Menu > CRM

The user is required to connect his/her CRM credentials to Contactous. Depending on the configured CRM, a login screen for the user will open up. Once the user has successfully logged into CRM, the contact records can transfer from Contactous to their CRM account.

Main Menu > Search

Search: Type in name of the contact person, company name or email
My Contacts: List of all contacts which are owned by the user
All Contacts: List of all contacts in the organization
By Tags: List of all tags in the system which can be selected to display the associated contact records
Pending Transcription: Records which have been scanned by users and are waiting transcription
Latest Contacts (My): Latest Contact records enterered in the system, belonging to the user
Latest Contacts (All): Latest Contact records enterered in the system, belonging to any user
Latest Notes: Latest Notes enterered in the system 
Account Status Report: Complete Account Summary Report mailed to the user

Main Menu > Search (or lists) > Results

Contact records based on the selection criteria are shown. The results contain records of both individuals and companies.

There are 3 icons on the right side of the name:
 
CRM: Selecting this will send this record into the CRM. If the record is already synchronized, this icon will not be shown

Mail Contact Information: Using this icon, the data of the contact record including the image of business card can be sent through email

Add to Phone: Save the record into user's local address book

Main Menu > Lists > My Contacts

This displays contacts for which the user is the contact owner.

A user is the contact owner if the card was scanned by that user or the user was assigned the contact by the administrator or another user of the system through the web application. 

Main Menu > Search > List by Tags/Index

By Tags: Tags are words or phrases assigned to a contact. For example, a contact can be tagged as a prospect, customer or a tradeshow name is added as its source. All tags are listed in this section. Selecting one will show all records associated with that tag.

: This is an alphabetical index of all contacts

Main Menu > Search

Type in name of the contact person, company name or email in the search box. The results are shown based on the criteria.

Main Menu > Search > Contact > Details

Details of the contact are displayed here. Only the non-blank data is displayed here.

Main Menu > Search > Contact > Notes

Notes on any contact are visible here. Any user who can view the contact can add notes. These notes can be edited and deleted. On the right hand bottom corner, an icon is present to create a new note.

Tags of a contact are visible here. Tags can be deleted or multiple new tags can be added by the icon on the right hand bottom corner of the screen.

The scanned card is shown here. If two sides of the card were scanned, both will be displayed here.

Main Menu > Scan 

This is the only important step on your side - To take a good photograph of the card. All you need to do is to make sure that 1) card is placed the way you will read it, 2) the phone is always in landscape mode and 3) the card is within the grid during scanning. 

If the card is in portrait mode, place it in the same orientation and keep the phone in landscape position. We have written a blog has been written on this topic. 

There are 2 main options on top panel: 
Option to scan double-side card: Tap it and follow the instructions to scan double-sided cards

Option to upload a photo from phone: If the photo of the a card is already in the phone, it can be selected and uploaded.

Main Menu > Scan 

You can preview the photo of the card here, before uploading it in the system.

There are 3 options here: 

Upload and scan new: Select it if you find the quality of card satisfactory

Discard and scan again: If you find the photograph unclear or not fully captured (as it was out of grid), you can discard the image and take it again

Upload with tag(s): You have the option of uploading the photo with tags. This is useful when you are uploading photos from a trade show or an event.

Main Menu > Preferences

Preferences are used for data entry in batches - of other users or cards from tradeshows & events.

There are 2 options here: 

Default Name: Select a user name. All subsequent cards which are scanned will be under the ownership of the selected name. 

Default Tag: Select a tag. All subsequent scanned cards will be tagged using this selection. Multiple users can use the same tag in a tradeshow or event to consolidate the cards.
